After repeated issues I sent this out yesterday. I’m feeling empowered and stuff....

Company vehicle maintenance informal policy:

If you use a company vehicle please adhere to the following:

1. If it’s under ˝ tank of gas, fill it up.

2. Remove all trash.

3. Remove non-necessary field equipment.

4. Leave necessary field equipment in the vehicle for the next person like water, tool kit, first aid kit, gloves, fire extinguisher etc…

5. If the exterior is dirty go wash it.

6. If the interior is dirty vacuum it out and wipe down the dash etc…

7. If you travel with your pet it is expected to be returned without pet hair or doggy prints. There are some employees who have allergies.

8. If the mileage is up on the oil change sticker tell Jane and it will go in for a service.

9. If anything if weird please tell Jane and it will go in for service. (alignment, check engine light, anything rattling, not working right)

The company will pay for a professional cleaning once a year but not every few months. Please be considerate since we are a small office and all need to all pitch in.

I used to absolutely trash work vehicles, but to be fair I was working a landscaping job and was the only one driving them. I’d usually take about two hours every friday to clean them all out to avoid doing other work in case someone else drove them on the weekend. Dirt and mud everywhere was inevitable, but I kept trash in it along with all the tools I might need for any given job that I didn’t want other employees breaking (they did that a lot). I would always report maintenance issues and move all my crap to one of the other trucks.

Your email is reasonable though, though I’ve never heard of a job where you could bring your dog.

We are engineers and scientists so so some professionalism is expected and we have nice vehicles a 2015 explorer and 2012 2500 Chevy HD 4-dr.

Benefits of people not doing this: You often get free stuff. Example: 1/8” stereo patch cord.

The story behind that: I used to be a member of a car sharing program. I felt like I was often the ONLY member who bothered to leave the cars in better shape than I found them.

After months of this and regular calls to HQ about garbage left in the cars, (seriously, entire McDonald’s family meals worth of junk) lost sunglasses and so forth, I gave up.

I still cleaned the cars but it was “finders-keepers” on stuff like the above patch cord. Because “fuck that guy.” (to be clear, I made exceptions for valuables or hyper personal stuff - house keys, chequebooks, watches etc.)
